Procurement Associate (J&F)

Position Overview

The Procurement Associate is responsible for managing import documentation, monitoring shipment-related costs, and ensuring compliance with import regulations. This role oversees container deposit refunds, detention and demurrage charges, shipping documentation, and import permits while coordinating the review and approval of import pre-alert documents. The position also prepares weekly operational reports, maintains outward remittance records, and supports the efficient processing of dry and meat import shipments to ensure timely and compliant import operations. 

Responsibilities

•    Ensuring that container deposits are refunded within 90 days by following up on refunds, processing, and transmitting them to accounting for closure in refund monitoring. Also responsible for preparing and ensuring the completeness of container deposit refund requirements for brokers.
•    Responsible for maintaining scanned copy of original documents, uploading it to share folder, and timely releasing the original documents to assign brokers.
•    Responsible for requesting the SSDT copy from brokers and sending the copies of SAD, FAN, and SSDT to compliance every Friday.
•    Closely monitor the application of SPS Permits and MAVIC. Monitoring ETD of Vessel versus SPS validity to avoid expiry of SPS Permit.
•    Responsible for checking and approving all documents for dry and other meat shipments, ensuring they are on time and without delay.
•    Responsible for creating the outward remittance folder for the payment of shipments to suppliers.
•    Responsible for sending arrival notices, billing invoices to brokers (THC, Condep, Demurrage & Detention).

Education

Bachelor’s Degree in Custom Administration or any Equivalent

Experience

• Preferably with at least 2 years of related working experience

• Has sharp attention to details
• Has excellent interpersonal skills and able to communicate and coordinate with all levels of employees in the organization.
• Has the ability to work independently but can also work with others in a team environmen
