PRIVACY NOTICE FOR EXTERNAL RECRUITMENT
1. Introduction
The Johnsonville group of companies in Singapore (the “Group of Companies”, “Johnsonville Company”, “Companies”, “Company”, “we”, or “us”) have adopted this Recruitment Privacy Notice to explain how we collect and use your personal data during the recruitment process. It is our utmost priority to take appropriate measures to safeguard the security and safety of your personal data stored with us as well as to comply with relevant laws.
This Privacy Notice informs you of how the Company will collect and manage information provided by you, including personal data when you create an account to apply for work available at our career opportunities portal.
This Privacy Notice is relevant to you because you are applying for work with us (whether as an employee or contractor). It is important that you read, understand and keep a copy of this Privacy Notice, together with any other privacy notice we may provide from time to time when we are collecting or processing personal information about you. It makes you aware of how and why your personal data will be used, namely for the purposes of the recruitment exercise, the period in which your data will usually be retained for, and your rights are under the relevant data protection legislation.
2. Identity of Controller
The Johnsonville Company that you have applied for employment with is the "data controller" who processes your data submitted to our career opportunities portal. This means that we are responsible for deciding the manner in which we hold and use the personal data submitted by you. We are required under data protection legislation to notify you of the information contained in this Privacy Notice.
3. Types of Personal Data Collected
In the process of you applying for jobs on our career portal or otherwise interacting with us in connection with your application process, we will collect the following data:
- The information you have provided to us in your curriculum vitae or resume and cover letter.
- The information you have provided on our application form, including but not limited to identity information, contact information and professional life information i.e. name, title, address, telephone number, personal email address, date of birth, gender, language, employment history, educational and vocational experience and qualifications.
- Any information you provide to us during the application process or at an interview, including reference contact information.
- Various tests where applicable including but not limited to Predictive Index tests results and reports, as required.
- Where legally allowed in a particular country, we may also collect, store and use the following types of more sensitive personal information selectively, i.e. information about your race or ethnicity, religious beliefs, sexual orientation, disability status, marital status, health status, medical records, etc.
- If legally allowed in a particular country, we may also collect, store, and use information about criminal convictions and offenses.
- If legally allowed in a particular country, we may collect the results of drug screens, post-offer physicals, employment verifications, driving qualifications, and background checks.
4. Sources of Personal Data
We collect personal data about you when you provide it to us. We may also collect personal data about you from the following sources: from one or multiple Group of Companies, automatically through our job portals, referrers, past employers, recruitment partners, educational or licensing bodies, publicly available sources, third parties who assist with our background/screening practices (when permitted by applicable law), and/or job platforms(e.g., Paradox, LinkedIn and/or Indeed). We collect referral contact information through the applicant that provides it. If you consent to the use of cookies or other similar technologies on our websites, then we may also collect information automatically through the technologies.
5. Purpose of Processing
We may process your personal data for the following purposes:
- Enabling the successful completion of the recruitment process and evaluating applicants for employment.
- Checking that your profile matches the expectations of the proposed position.
- Checking that your profile matches the criteria sought for a future job with other companies within our Group of Companies.
- Giving visibility to you regarding the follow-up and history of your application process.
- Communicating to you about job offers that may be of interest to you.
- Allowing the successful completion of the hiring process.
- Ensuring compliance of the hiring process with legal obligations and for the purpose of protecting our legal rights.
- If legally allowed in a particular county, for the purpose of conducting background checks including those related to criminal convictions and offenses.
- If you are selected for employment, we will use the personal data provided during your employment to fulfill our obligations as an employer and subject to our internal policies.
6. Legal Basis of Processing
In some jurisdictions, we are required to provide a legal basis for the processing we conduct. In such jurisdictions, we base our processing on the following legal bases:

7. Recipient of the Personal Data and Data Disclosure
We disclose personal data to third parties to help us evaluate applicants for employment, for the uses described above, and to comply with our legal obligations. Your personal data may be made available or disclosed in the following ways:
- With our employees, for example, your personal data will be accessible to the authorized personnel of the Group of Companies, i.e. the Human Resources Department members in charge of recruitment and the coach to whom the offer is attached, each of them with dedicated access rights according to the scope of their need-to-know.
- With our affiliates, for example, we may disclose your personal data within the Group of Companies which the role you applied for is based in or suitable for internal transfer, depending on the choices you have made on your profile.
- With our third-party service providers, for example, a medical provider, background check provider, IT support provider, or software provider, etc.
- As required by law to comply with our legal obligations.
All our third-party service providers and other entities within our Group of Companies are required to take appropriate security measures to protect your personal data in line with our policies. Third-party service providers are prohibited from using your personal data for their own purposes and they are only permitted to process your personal data solely in accordance with our instructions and for the purpose they are engaged for.
8. Retention of Personal Data
Your personal data will be retained by the Company for 1 year from your last application date in a CV / Resume database, so that you can be recontacted if we identify new offers that could correspond to your profile, unless otherwise required by applicable law. Please note that if you created a candidate profile, the data linked to your account will be retained by the Company for 1 year from the last connection to your candidate account, unless otherwise required by applicable law. If you are selected for employment with any Johnsonville Company, then your personal data will be retained in accordance with our internal policies and practices governing employee data.
9. Data Rights
We respect your rights over your personal data. Depending on the jurisdiction in which you live, you may be able to exercise some or all of the following rights, subject to applicable law and permitted exceptions:
- Access the personal data we hold about you (and, in some jurisdictions, information about how it has been used or disclosed).
- Correction of inaccurate or incomplete personal data.
- Deletion/erasure or blocking of personal data in certain circumstances.
- Object to, or restrict/opt out of, certain processing (for example, processing likely to cause damage or distress).
- Withdraw consent for future collection, use, or disclosure (this may affect our ability to process your application).
- Data portability (where available under local law).
- Lodge a complaint with your local data protection authority or seek other available remedies.
- Appeal a decision we have made about your personal data.
10. Exercise of Rights for Data Subject
If you would like to delete your applicant profile, specifically, please follow the below instructions:
- Log into your account.
- Select “Settings”.
- Select “Delete Profile”.
Once you delete your profile, we will no longer collect new personal data from your profile. However, previously collected personal data will continue to be subject to this Privacy Notice.
If you have questions about your personal data provided and/or wish to exercise any of your rights under applicable data protection laws including withdrawing your consent , you can contact us by writing to the HR department of the Johnsonville Company you have applied for as below:

Depending on local data protection laws, we may refuse or limit a request where the law allows (for example, where it would reveal another person’s data, confidential evaluative information such as certain interview notes or references, or confidential commercial information), or where the request is manifestly unfounded or excessive. In some jurisdictions, information about uses/disclosures may be limited to a defined period (e.g., the prior 12 months). If you are not satisfied with our response, you may contact your local data protection authority or appeal the decision we have made by submitting a request for reconsideration. If we receive notification that you have withdrawn your consent, we will no longer process your application and, subject to our retention policy, we will dispose of your personal data securely.

11. International Transfers of Data
We hold your personal data, including your sensitive personal data, principally in the country in which you are applying for employment in. We may also transfer your personal data to the United States. Other countries may not have the same protections for personal data as the country in which you live or are applying to employment in.
Where allowed by applicable law, we may transfer your personal data to another country. If we transfer your personal data outside of the country where you are employed, we will do so in accordance with applicable law and ensure that such transfers have an appropriate level of protective law given the personal data. For transfers originating in Malaysia, Singapore, and the Philippines, to other countries without an adequacy decision (such as the United States), we generally use the approved “Model Clauses” where appropriate.
