Members of our human resources (referred to at Johnsonville as “Member Services”), office support, and administrative assistant teams—including executive assistants and other key support roles—play a vital part in both big picture strategy and day-to-day operations. These teams are also responsible for recruiting, building, and developing a talented and diverse workforce. From supporting effective meetings and coordinating executive calendars to negotiating vendor contracts and designing programs in health and wellness, compensation, finance, and development, their contributions are essential to helping the organization achieve its goals.

Position Overview

As the Receptionist / Human Resources Assistant, you’ll have the opportunity to support the Members of the Johnsonville Holton facility and the Human Resources Team with day-to-day needs as well as strategic planning, future event scheduling, plant-wide administrative tasks and Human Resources support. 

Responsibilities

  • Provide administrative support for Human Resources and all other departments at Johnsonville Holton
  • Greet internal and external customers
  • Provide Spanish translation both written and verbal for all Johnsonville Holton needs such as meetings and documents
  • Professionally answer the main line, transfer calls, and page Members as needed
  • Assist members with user data – new hire information, address changes, K-4, W-4 and other member information
  • Maintain confidentiality with Human Resources related issues
  • Coordinate new member benefit orientation materials and packets
  • Assist HR Generalist in preparing new members for orientation which includes pre-employment screenings, offer letters, new hire process/paperwork, member photos, E-Verify, etc.
  • Assist members as needed 
    Submit reimbursement programs for members such as member orders, referrals, fitness programs, training/education, computer and fitness loans
  • Assist all departments with various data entry tasks 
    Maintain various communication tools (i.e. bulletin boards, conference room meeting postings, daily break room monitor information)
  • Retrieve incoming mail from the mailbox and distribute it daily
  • Prepare outgoing mail as well as FedEx, UPS and other parcels
  • Assist with the planning and scheduling of various events (meetings, celebrations, picnics, training opportunities, holiday meals etc.)
  • Maintain various pieces of office equipment with supplies and schedule maintenance when needed
  • Schedule meetings, create and distribute reminder postings for scheduled meetings and events
  • Support annual engagement survey, audits and Indirect Open Enrollment administration
  • Assistance with planning and administration of company initiatives and projects
  • All other duties as assigned 

Education

  • High school diploma required
  • College Degree or Certification preferred 

Experience

  • 3-5 years prior administrative experience, required 

Skills

  • Excellent knowledge of Microsoft programs including Outlook, Word, Excel and PowerPoint (presentation building and spreadsheet development)
  • Excellent verbal and written communication skills, including great phone presence
  • Demonstrated ability to take and publish clear, concise, and timely communications
  • Organized and detailed, yet flexible
  • Discretion and proven ability to maintain confidentiality
  • Proven customer service background and the ability to work with a wide range of people and personalities
  • Proven ability to prioritize and manage workflow with frequent interruptions (time management)
  • Must enjoy being challenged with a variety of activities and responsibilities
  • Strong preference will be given to bilingual candidates (English/Spanish)

  • Must be at least 18 years old
