Position Overview
The Project Manager is responsible for planning, executing, and delivering projects that meet scope, timeline, budget, and quality expectations. This role leads cross-functional teams, ensures alignment between internal and external stakeholders, and proactively manages risks to keep projects on track. The ideal candidate is highly organized, communicative, and adaptable, serving as the central point of coordination throughout the project lifecycle.
Responsibilities
Key Responsibilities
1. Planning & Organization
- Develop detailed project plans, including schedules, milestones, and resource allocation.
- Identify risks, dependencies, and contingencies early in the planning process.
- Define required team members and set priorities for tasks and deliverables.
- Ensure each project has a clear roadmap, expectations, and timeline.
2. Leadership & Team Management
- Lead, motivate, and support project teams with varying levels of involvement depending on project needs.
- Foster collaboration, resolve conflicts, and maintain positive team dynamics.
- Facilitate internal and customer-facing meetings, including daily production meetings and weekly client updates.
- Act as the go-to leader who keeps the team aligned and productive.
3. Communication
- Provide weekly progress updates to internal and external stakeholders, highlighting progress, risks, and key changes.
- Ensure team members understand their responsibilities, deadlines, and priorities.
- Maintain accurate documentation, status reports, meeting notes, and decision logs.
- Promote transparency and alignment across all parties involved.
4. Budget & Resource Management
- Monitor project costs and immediately flag significant variances.
- Manage resource allocation across people, equipment, and tools to support successful execution.
- Approve or recommend key purchases and expenditures.
- Maintain financial accountability throughout the project.
5. Risk & Issue Management
- Identify potential risks early and develop mitigation strategies for high-risk areas.
- Monitor issues closely and remove roadblocks to maintain project momentum.
- Pause the project and coordinate with Sales when scope changes arise.
- Anticipate problems before they escalate to ensure project continuity.
6. Quality & Deliverables
- Ensure deliverables meet scope, timeline, and quality standards.
- Implement review and testing processes prior to delivery.
- Monitor project KPIs and performance metrics (future-state responsibility).
- Deliver outcomes that satisfy customer expectations and internal quality standards.
7. Adaptability
- Adjust plans as project requirements, priorities, or resources shift.
- Manage unexpected challenges without losing momentum.
- Balance multiple projects and priorities under pressure.
- Maintain a flexible, solution-oriented mindset.
8. Stakeholder Management
- Understand and manage stakeholder needs, expectations, and priorities.
- Negotiate requirements when conflicts arise between teams or departments.
- Keep customers engaged, informed, and confident in project progress.
- Build strong, trust-based relationships across internal and external partners.
9. Project Closing & Evaluation
- Conduct post-project evaluations and lessons-learned discussions.
- Archive project documentation and ensure proper knowledge transfer.
- Evaluate project outcomes and team performance against goals.
- Ensure projects conclude formally with clear, actionable insights for future improvement.
Education
- High School Diploma
- Bachelor's Degree a plus but not required.
Experience
- 3–5+ years of project management experience.
- Experience leading cross-functional teams.
Skills
- Strong communication, organization, and problem-solving skills.
- Proficiency with project management tools (e.g., Trello, Asana, MS Project).
- PMP or related certification a plus but not required.
